What gets built

Automation for HVAC and plumbing companies

Trades Smart automates the small manual jobs a service company's office does over and over, like chasing unsold estimates, sending review requests, renewing memberships and catching after-hours calls, on top of the CRM you already run, so your people spend their day on work that needs a person.

If someone retypes what the computer already knows, you pay for it twice

Most of the work isn't one clever robot. It's the steady removal of the copying between systems, the chasing, the retyping and the reminders somebody has to remember to send. Every automation sits on top of ServiceTitan, Housecall Pro, Jobber or whatever you run. Nothing asks you to move platforms.

What we automate

  • Unsold estimate follow-up: pulled from your CRM and chased automatically, spaced out, polite and persistent, until the customer says yes or no. Most shops are sitting on months of these.
  • Overflow and after-hours capture: when every CSR is on a line, or it's nine at night, the caller gets a response and a slot instead of a hold tone. Real emergencies still reach a person.
  • Review requests sent at the moment the customer is happiest: the job just finished and it works.
  • Maintenance agreement renewals chased on schedule instead of when somebody notices. Memberships are the most predictable revenue in the business and the easiest to quietly lose.
  • Missed-call text back, so a missed call becomes a conversation instead of a call to the next company on the list.
  • Call review and CSR coaching: every call reviewed instead of the four your manager has time for, so you know which calls didn't book and why.
  • Job notes to write-up: the tech talks through the job on the drive back and the write-up is drafted before they're off the highway.
  • Receivables reminders: the polite reminder, then the firmer one, on schedule.
  • Paperwork between systems: warranty claims, purchase orders, timesheets and supplier invoices.
  • Job costing kept current, so gross profit by department is a number you can trust.
  • A weekly owner scorecard showing where you are against plan.

How it works

  1. A free first call to find the leaks worth fixing and put a rough number against each.
  2. The build, on the CRM you already run. You don't configure anything or learn a platform.
  3. The handover: sessions with your team until they can run it without us.
  4. One monthly membership, cancellable with 30 days' notice. No annual contract and no project fees.

Common questions

What should an HVAC company automate first?

Usually unsold estimate follow-up and missed or after-hours calls, because that is revenue already in the building that is being lost. The free first call puts a rough dollar figure on each so you can choose.

Do we have to switch CRMs?

No. Everything sits on top of ServiceTitan, Housecall Pro, Jobber or whatever you already use.

Will automation replace our office staff?

No. It takes the repetitive work off them so they can spend their time on customers. We won't help a shop cut CSR headcount.

Find out what's leaking.

One call, no pitch. We go through your booking rate, what's sitting unsold in your CRM and whether your pricebook is helping or hurting, and I'll tell you whether there's anything worth doing.
